This information is intended to de-mystify your journey through the Programme, and highlight the important admin milestones.

Your Programme Journey

  • Trainees must complete a Form R when entering training. Your National Training Number (NTN) will be issued by the GP School upon receipt of your Form R. This form is accessible via your TIS Self Service (TSS) account, for which you will receive login details at least 12 weeks before your start date. The TSS account also provides information on your rotations.

  • You will need to register with the RCGP as an Associate in Training (AiT). Please note that membership fees are applicable both at the time of registration and annually on April 1st. You will receive an email titled “Welcome to your new Trainee Portfolio” that invites you to log into the Portfolio at Fourteen Fish. Begin using the portfolio as soon as you start your GP training programme.

  • Your progression through each stage of the training programme is contingent upon satisfactory performance review, which includes Workplace Based Assessments (WPBA), log entries in the portfolio (such as Clinical Case Reviews), Clinical Supervisors Report (CSR), and Educational Supervisors Review (ESR) .   • You should meet with your ES at the start of your training programme (August/September time). The meeting right at the beginning of the programme is an informal meeting which can be recorded as an educators note by your ES.

  • You should have a planning with your CS at the start of a post. There is a specific template in the portfolio to log the placement planning meeting. The placement planning log entry can be only completed by the trainee.

  • The Clinical Supervisors Report (CSR) is a short, structured report completed by your Clinical Supervisor (CS) in a hospital or ITP post at the end of your non-primary care posts. This will help your Educational Supervisor (ES) understand how you have done in the placement.

  • The Educational Supervisors Review (ESR) is conducted by your Educational Supervisor (ES) every six calendar months, regardless of whether you are training full-time or part-time. It is important to submit learning logs well in advance of your ESR, as agreed with your ES. Submitting numerous learning logs at short notice is unrealistic and may reflect negatively on your time-management and professionalism during your review.

     

    Your ESR has to be no longer than 8 weeks before the ARCP date. Ideally, the ESR should be finished 2 weeks before ARCP so please book this in advance with your ES and do not leave it to the last minute.

     

    The 6 month review is an Interim ESR. It is a formative process to support you and to try and ensure you are on track to achieve ‘satisfactory progress’ at your next ARCP.

     

    An ESR must be done before someone goes off on maternity leave or Out of Programme, which helps validate the evidence submitted so far so that it counts towards training and record progress.

  • Educators' notes in your portfolio are comments from your Clinical Supervisor (CS), Educational Supervisor (ES), or Training Programme Directors (TPDs). These notes are meant to alert you to tasks that need completion or to provide feedback on your progress.

  • An Annual Review of Competence Progression (ARCP) occurs at least once every 12 calendar months. This review is conducted by an ARCP panel that evaluates the evidence in your portfolio. The panel typically includes a Panel Chair and two Programme Directors and/or Educational Supervisors. Trainees generally do not need to attend unless there is a concern that an unsatisfactory outcome may be indicated. This happens even if you are on maternity leave, so please make sure you have everything uptodate before you go on leave and check your emails if you need to do anything like the Form R.

  • You must submit a Form R annually before each ARCP. An email reminder will be sent to you to complete the Form R each year before this is due. This form is available on your TIS Self Service (TSS) account.

  • Your WPBA and portfolio must be completed by the 9th month of your ST3 year.

  • The Certificate of Completion of Training (CCT) indicates that you have completed your training and are eligible for entry onto the GP Register of the GMC. Once you sign your final ARCP form and click the “Apply for CCT” button in your Portfolio, your application to the RCGP is automatically processed. The RCGP will then recommend to the GMC to award a CCT. The GMC will invite you by email to apply to the GP Register in the last four months of your training programme.  The GP School will update NHS England (NHSE) when GP registrars obtain their CCT.

  • The Performers List is a list of approved GPs who have passed employment checks and have the criteria necessary for working in primary care. Upon completing your training, you must notify Primary Care Support England (PCSE), a part of NHS England. You should only complete your application between 6 and 3 months BEFORE your expected CCT date. If the application is started too late, it may result in you not being able to work immediately as an independent qualified GP. You can start your You must apply as a “GP registrar” and not performer. Following CCT, you can log back onto the PCSE portal and change your status from GP registrar to performer to allow you to work in primary care.
